This data protection information pursuant to Art. 13 and 14 of the EU’s GDPR serves as information on how your personal data is processed by AUDI AG, Auto-Union-Straße 1, 85057 Ingolstadt, Germany, (hereinafter referred to as “we” or “us”) in connection with services provided by Audi Forum.
In our Audi Forum, we provide you with various services relating to your visit to Audi, including new car pick-ups, discovery tours, ticket shop (e.g. for the Audi mobile museum or Audi cinema), culinary experience, Audi shops, Audi museum shop, events, conference bookings or the visitor service.
Personal data means any information relating to an identified or identifiable natural person. An identifiable natural person is one who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person.

2. What data do we process and what sources does such data come from?
We process personal data that we receive from you within the scope of our services and your interaction with us or that we lawfully collect about you. This includes in particular the use of IT systems (e.g. websites, platforms) and communication means, contact with employees or customer support, registration for newsletters, participation in events, or the receipt of non-cash benefits.
The relevant personal data that we can process within the scope of our services includes:
• Private contact data (e.g. name, address, telephone numbers and e-mail address)
• Professional contact details (e.g., work address, e-mail and telephone number, company, department)
• Other personal data (e.g. date of birth, age group (e.g. pensioner), nationality)
• Account data (IBAN, BIC, account number, bank sort code, credit institution, account holder)
• Contract data (contract identifier, transaction data, information on purchases of products and services)
• Vehicle identification number (VIN)
• Vehicle number plate
• Photographs, videos and sound recordings
Following on from the above, we process the following personal data within the framework of the services mentioned:
Vehicle pick-up:
We process the data provided by you when booking the vehicle pick-up as well as the information and documents required for vehicle delivery. Each vehicle is identified with a unique vehicle identification number. In Germany and as the case may be, in the other relevant domiciles, this vehicle identification number (“VIN”) can be used to obtain information about the current and previous owners of the vehicle respectively from the Federal Motor Transport Authority (in Germany “Kraftfahrtbundesamt”) or the relevant authority. There are other ways to use the data collected from the vehicle to learn about the owner or driver of the vehicle, for example, with the number plate. The data generated or processed by the control units may, therefore, be personally identifiable or may, under certain circumstances, become personally identifiable. Audi Forum and AUDI AG events:
For the booking of tickets or seat reservations for AUDI AG events (e.g. Audi.torium, Audi cinema, events in the Audi Forum) and your participation in these events, we process personal data that we receive from you or from the ticket purchaser in connection with the ticket order. Moreover, we process data from public sources for the purpose of issuing official invitations to events. The relevant personal data includes: Surname, first name, e-mail address or telephone number (optional information for contacting AUDI AG in the event of short-term changes to the event) or, if applicable, the master number of AUDI AG employees). In addition, we may take photographs and film at the event. Photos of your person will only be taken with your express consent. We would like to draw your attention to the fact that photographs may also be taken during the event without your consent, whereby it may happen that your person is included in a photograph. We make sure that individual persons are as unidentifiable as possible.
Event tickets:
For the booking of tickets to events of external organisers (e.g. DTM, football games) we transmit your data to the organiser of the event or the data is collected directly by the organiser or ticket seller in his booking system.
Discovery tours:
For the implementation of discovery tours (e.g. factory tours, Audi Forum tours, museum tours), we process the personal data provided by you in the booking process. To complete the booking process we use the IT tool of our data processor the Regiondo GmbH, Mühldorfstraße 8, 81671 München, email: support@regiondo.de
Audi Shop:
We process the personal data provided by you as part of the purchase of items in one of our shops, in particular name, reference number (for AUDI AG employees), transaction data, i.e. information on purchases of products and services as well as payment information.
Conference rooms:
We process the personal data (e.g. name and contact data) provided by you as a participant or speaker when you register/register as a participant with us or that was transmitted to us by the conference organiser. In order to fulfil the contract concluded between us and you or your company for the use of our conference rooms, we process the provision of various services using your following personal data: name and work contact data (address, company, e-mail address, telephone number), billing and payment data.
Visitor service/guest hospitality:
For the purpose of looking after our visitors to the Audi Forum and providing them with a variety of experiences, we process the personal data you provide as part of your interaction with us.
Video surveillance:
In order to be prepared for the corresponding “threat with weapons” scenarios (terror, mass shootings...) and to be able to initiate appropriate measures to protect employees, customers and visitors as well as the security forces deployed, appropriate video cameras have been installed in the Audi Forum. These are only activated when the alarm button is pressed. This measure enables the plant security/police to obtain an overview of the current situation on site in advance and to save time accordingly. Furthermore, the location can be better assessed and demarcated.
The video surveillance starts only after triggering the alarm buttons at the reception areas. At this time, customers, visitors, employees and a corresponding perpetrator can be in the video-monitored area. In addition to the information on video surveillance, please also note the corresponding information signs in the entrance area.
Rental vehicle returns:
If you use the option of returning rented vehicles to us, we process the personal data indicated by you in the return form.
Contests (e.g. Audi Young & Fun):
We process the personal data you provide for participation in any contests for the purpose of conducting the contest. We will inform you about the processing of your personal data in connection with the execution of that specific contest.
Brochure orders:
If you wish to order our current brochures (e.g. Audi Forum monthly programme), we will process the following data on the basis of your consent (Art. 6 Para. 1 S. 1 lit. a GDPR) for the purpose of delivering the brochure: surname, first name, address and (optionally) e-mail address.
Further product information:
If you would like to receive information about our products and services, you can order these materials. For this purpose, the following data will be processed for the purpose of marketing materials delivery within the scope of the consent given by you (Art. 6 Para. 1 S. 1 lit. a GDPR): surname, first name, e-mail address and/or telephone number. If you agree to be contacted by e-mail, we will use the so-called double opt-in procedure, i.e. we will send you an e-mail to the e-mail address provided with the request for a confirmation of your consent. Contacting in the course of updates to digital services:
AUDI AG is subject to various statutory and contractual requirements with which it must comply. These may result, for example, from contacting in the course of any updates in connection with digital services pursuant to Section 327 lit. f BGB (Bürgerliches Gesetzbuch). The following personal data will be processed for this purpose: private contact data (name, photographs, videos and sound recordings), professional contact details (name, company, department, photographs, videos and sound recordings). The legal basis for the associated data processing is the fulfillment of a legal obligation within the meaning of Art. 6 I lit. c GDPR or contractual requirement within the meaning of Art. 6 para. I lit. b GDPR.

• Processing is necessary for compliance with a legal obligation pursuant to EU law or the law of an EU member state to which we are subject (Art. 6, para. 1, sub-para. 1c) GDPR);
• Processing is necessary to protect your vital interests or the vital interests of another person (Art. 6, para. 1, sub-para. 1d) GDPR);

3.1 Is there an obligation to provide data?
In the framework of our business relationship, you must only provide us with the personal data that is necessary to carry out our services or which we are legally obliged to collect. Without this data, we would generally have to refuse to conclude the contract or provide the services, or we would no longer be able to carry out an existing contract and it may have to be terminated.
4. Who receives my data?
Due to the amount and complexity of data processing undertaken by AUDI AG, it is not possible to list every recipient of your personal data individually in this data protection notice. We therefore generally specify only categories of recipients.
Within AUDI AG, your data is made available to the units that require it as part of data processing (e.g. Sales Germany, IT department).
Third-party service providers engaged by us and working on our order to support data processing (so-called “processors”) may also receive data for these purposes. We only use processors based in Germany. Thus, for example, your IP address may be forwarded to a service provider so they can send you a newsletter you have ordered. Service providers may also be asked to make server capacities available. This includes:

Your personal data will be disclosed by us to third parties only if this is necessary for the fulfilment of the contract, if we or the third party have a legitimate interest in the disclosure, or if you have given your consent.
